These Terms and Conditions are intended to establish a clear and constructive framework for the relationship between Capital School and the families it serves. A strong school community depends upon mutual understanding, shared expectations, and a commitment to acting in the best interests of students at all times.
1. Acceptance of Terms
By accepting a place at Capital School, parents or guardians acknowledge the school’s educational philosophy, policies, and standards of conduct, and agree to support the school in maintaining a safe, respectful, and academically purposeful environment. The school, in turn, is committed to providing high-quality education, pastoral care, and professional communication in accordance with its published policies and operational standards.
2. Admissions & Enrolment
Admission to the school is subject to the completion of all required application procedures, the submission of accurate information, and the school’s final written offer of a place. The school reserves the right to request academic records, reports, identification documents, assessment information, and any additional documentation considered necessary to make an informed admissions decision. Acceptance of a place becomes valid only when all required registration steps have been completed and the relevant fees or deposits, where applicable, have been paid within the stated timeframe.
3. Parent & Guardian Responsibilities
Parents are expected to ensure that all information provided to the school is accurate, complete, and promptly updated if circumstances change. This includes contact information, emergency contacts, medical information, learning support details, and any other matters that may affect the student’s wellbeing, safety, or educational progress. Failure to disclose material information may affect the school’s ability to support the student appropriately and may, in serious cases, affect continued enrolment.
4. Student Conduct
The school expects students to attend regularly, arrive punctually, complete assigned work, and uphold the values and behavioural standards of the school. Respect for staff, peers, and the school environment is essential. Any conduct that compromises safety, disrupts learning, damages property, or undermines the wellbeing of others may result in disciplinary action in accordance with school policy. The school reserves the right to take reasonable action in response to misconduct, including suspension or, in serious circumstances, withdrawal of a student’s place.
5. Communication Standards
Parents are expected to support the school’s rules, procedures, and educational expectations. Constructive communication is encouraged, but all interactions with staff, students, and members of the school community must remain respectful. The school reserves the right to manage or restrict communication that is abusive, threatening, defamatory, or otherwise inconsistent with the standards of a professional educational environment.
6. Fee Obligations
Fee obligations must be met in accordance with the school’s published schedule and payment deadlines. Failure to pay fees on time may result in late-payment measures, restriction of access to certain school services, withholding of reports or records where permitted, or suspension of re-enrolment and continued attendance, subject always to applicable regulations and school policy. Any discounts, scholarships, bursaries, or payment plans are granted subject to the specific conditions attached to them and may be reviewed or withdrawn where those conditions are no longer met.
7. Digital Systems & Portals
The school may use secure digital systems, including student and parent portals, to communicate important information and provide access to records, reports, billing, calendars, and academic resources. Access credentials must be kept confidential, and users must not misuse school systems, copy restricted materials unlawfully, or attempt unauthorised access to protected information. The school reserves the right to suspend portal access in the event of misuse or security concerns.
8. Safeguarding & Data Protection
Capital School is committed to safeguarding, student welfare, and the protection of personal data. The school will process information in accordance with its privacy practices and relevant legal obligations. Parents acknowledge that the school may need to collect, store, and use personal information for educational, safeguarding, health, operational, and regulatory purposes. Where photographs, recordings, or student work are used for internal or external school purposes, this will be managed in accordance with school policy and consent procedures where required.
9. Changes to School Operations
The school reserves the right to make reasonable changes to curriculum, staffing, schedules, facilities, policies, and operational procedures where necessary in the interests of educational quality, safety, compliance, or effective school management. Families will be informed of material changes through appropriate communication channels.
